5. This chapter deals with the different models of access.
You can configure access to your event directly in the cockpit. There are three different modes:
Free access: your event is free and publicly accessible to everybody. On the event page, the “Join event now” button will allow anyone to enter your event.
Password protected: you will specify a common password for all attendees. On the event page, the “Join event now” button will forward the attendees to a password prompt, and if the password is correct, users will be able to enter the event. They will only need to submit this password once.
Guestlist: if you want to control exactly who can access your event, you can set this mode and configure all the guests that have access to each mode. Each guest will have a unique access link that is not shareable (only one user can be online with the same link at the same time).
It is important to mention that you can have all these three modes enabled at the same time.
Add a registration form
If you want to add an RSVP form on your event page, you can do it if you have the guest list access mode enabled. Enable this mode in the cockpit, and you will see a section to activate the registration form and configure each field.
Once a user registers for an event, they will be automatically added to the event's guest list, and you can then approve their guest access. Please check the next topic to know more details about the guest list mode.
On the RSVP section, you also have the possibility to configure the email template that is sent whenever someone registers for your event.
Manage guest list
As described above, you can control exactly who has access to your event and revoke their access at any time. You can manage all your guests on the Access Control tab of your cockpit page. In this area, you can:
Add or edit guests
Import new guests from a .csv file
Allow or revoke access to guests
Send invite personal links
Export list of guests to a .csv file
For each guest, you can also set their Tags and Roles. Tags are used to limit the access to Rooms and on the manage attendees features. Roles can be Host or Speakers. These tags and roles are automatically attributed once the guests login in to the event with their personal access link.
Please note that the personal access link can only be used by one person and for this reason may not be shared publicly! Likewise, a participant who is on the guest list can only register once.
When communicating with your attendees before your event, please make sure they have the technical requirements to join the event without any issues. You can simply share the link to our technical check website for everyone to test upfront to have a smooth online event experience.
